Getting Started

New to Youth Platform? This guide will walk you through setting up your club and getting started with the basics.

Setting Up Your Club

When you first sign up for Youth Platform, your club will be set up with some basic information. Here's how to complete your club profile:

1. Access Club Settings

Navigate to Settings → Club Settings from the dashboard sidebar. Here you'll find all the options to customise your club's profile.

2. Update Club Details

  • Club Name - The official name of your youth club
  • Subdomain - Your unique URL (e.g., yourclub.youthplatform.co.uk)
  • Contact Email - Main contact email for the club
  • Phone Number - Contact phone number
  • Address - Your club's main address

3. Add Your Locations

If your club runs sessions at multiple venues, add each location in Settings → Locations. This allows you to assign specific locations to sessions and track attendance by venue.

Tip

Setting up locations first makes it easier to create sessions, as you can quickly assign them to the correct venue.

Inviting Staff Members

Once your club is set up, you can invite your team members to join. Each staff member will receive a magic link via email to set up their account.

How to Invite Staff

  1. Go to Staff → Add Staff Member
  2. Enter the staff member's name and email address
  3. Select their role (see Understanding User Roles below)
  4. Click Send Invitation

The staff member will receive an email with a link to access the platform. They'll use magic links to log in - no password needed!

Important

Choose roles carefully. Management and Club Owner roles have access to sensitive information including medical records and safeguarding notes.

Creating Your First Session

Sessions are the core of Youth Platform. A session is a recurring activity (like "Friday Night Youth Club") that happens on a regular schedule.

Step 1: Create the Session Template

  1. Go to Sessions → Add Session
  2. Enter the session name and description
  3. Select the day of the week it runs
  4. Set the start and end times
  5. Choose a location from your saved locations
  6. Set the capacity (maximum number of young people)
  7. Configure age range and any gender restrictions
  8. Choose a registration mode:
    • Drop-in - Anyone can attend without registering
    • Pre-registration Required - Young people must register in advance
    • Pre-registration Optional - Can register in advance or drop in
  9. Select a check-in security level (see Security Levels Explained)

Step 2: Generate Session Instances

Once you've created a session template, you need to generate the actual dates (instances) when it will run.

  1. Click on the session to view its details
  2. Click Generate Instances
  3. Select the date range (e.g., the current term)
  4. Review the dates that will be created
  5. Click Generate

You can always generate more instances later, and you can cancel individual instances if needed (e.g., for bank holidays).

Pro Tip

Generate instances for a whole term at once, then cancel any dates that fall on holidays. This is faster than generating week by week.

Understanding User Roles

Youth Platform uses role-based access control to ensure staff members only see information relevant to their responsibilities.

Club Owner

Full access to all features. Can manage settings, billing, staff, and all club data.

Can use password login

Management

Can manage sessions, staff assignments, young people records, and view reports. Cannot access billing or delete the club.

Magic link login only

Safeguarding Lead

Access to all young people records including sensitive safeguarding notes. Can view medical information and manage consent records.

Can use password login

Session Leader

Can run sessions they're assigned to. Can check in young people and view basic information needed for the session (emergency contacts, allergies).

Magic link login only

Volunteer

Limited access. Can check in young people at sessions they're assigned to, but cannot view detailed records.

Password and Account Security

Youth Platform uses passwordless authentication via magic links for most users. This is more secure than traditional passwords and more convenient.

Magic Link Login

When you log in, enter your email address and click "Send Magic Link". You'll receive an email with a secure link that logs you in instantly. Links expire after 15 minutes for security.

Password Login

Site Admins, Club Owners, and Safeguarding Leads can optionally set up a password for faster access. If you have password login enabled, you'll see both options on the login screen.

Changing Your Password

  1. Go to your Profile (click your name in the top right)
  2. Select Security Settings
  3. Enter your current password and your new password
  4. Click Update Password

Forgot Your Password?

Don't worry! You can always use the magic link option to log in, even if you've forgotten your password. Once logged in, you can reset your password in your security settings.

Security Best Practice

We recommend using magic links for day-to-day access and only setting up a password if you need quick, frequent access to the platform.
